Privacy Policy

Civic IQ is the publisher and operator of civiciq.network and Civic IQ tools and plugins. This policy describes how Civic IQ handles information in connection with the website, our support and feedback channels, and those tools and plugins.

1. Information you choose to share

When you contact Civic IQ, submit a website form, request support, or provide feedback, you may share your name, email address, organization, message, and any other information or attachments you choose to provide.

Share only information you have authority to disclose. Please avoid sending passwords, account credentials, sensitive personal records, or information about other people that is unnecessary to your request.

2. Civic IQ tools and plugins

Civic IQ provides instructions, templates, frameworks, and AI-supported workflows through tools and plugins. Current skills-only tools, including the Civic IQ Grant Funding Scout, operate within your AI platform and rely on capabilities available in your AI environment.

Civic IQ receives only information you voluntarily share with us. Installing or using a current skills-only Civic IQ tool does not automatically send your conversations, uploaded documents, organizational work, or plugin usage data to Civic IQ. If you choose to send information to Civic IQ for support or feedback, we receive what you provide through that channel.

Current skills-only Civic IQ tools do not operate a separate Civic IQ server or database for your conversations or documents. Your AI platform and connected services process information according to their own policies and your account settings. Civic IQ's lack of automatic plugin-data collection does not mean those providers do not process information.

If a future Civic IQ tool uses materially different data practices, such as a Civic IQ server, account connection, or automatic data transfer, we will update this policy or provide an additional notice before that processing begins.

Information you enter into your AI platform is not automatically a support submission to Civic IQ. Civic IQ cannot access or delete data held only by your AI platform or connected services; direct those requests to the relevant provider.

3. Website information and cookies

Visiting our website is separate from using a Civic IQ tool inside an AI platform. Website hosting and embedded services may process technical information, such as IP address, browser and device information, referring pages, and service activity, to deliver and operate those services.

Our website uses HubSpot forms. When you submit a form, HubSpot processes the information you provide so Civic IQ can receive your inquiry and manage communications. Embedded services may also use cookies or similar technologies as part of their operation.

You can manage cookies through your browser settings. Blocking cookies or embedded services may affect how forms or other website features work.

We use Google Analytics 4 to understand how visitors use the website, such as which pages are visited and how visitors reach the site. Google Analytics may use cookies or similar technologies and process technical or usage information according to our configuration and Google's policies. This website analytics activity is separate from conversations and documents inside your AI platform.

4. How we use information

We use information shared with Civic IQ to respond to questions, provide support, address reported problems, communicate about requests, and improve our website and resources. We also use information as needed to maintain operations and comply with applicable obligations.

If you choose to subscribe to updates, we may use your contact information to send those updates. A support request does not by itself enroll you in marketing communications. You may unsubscribe from marketing emails using the instructions provided in those emails or by contacting us.

5. Sharing information

We do not sell personal information.

We share information as needed with service providers that support our website, forms and communications, including HubSpot, and where needed to comply with law or protect legal rights. Information processed by your AI platform or connected services is also subject to those providers' policies.

6. Retention

We retain information voluntarily provided to Civic IQ for as long as needed to handle the request, maintain relevant communication records, and meet legal or operational requirements.

You may request deletion of information held by Civic IQ using the contact details below. Some information may need to be retained where required or permitted by law. Retention of conversations, documents and other information held by your AI platform or connected services is controlled by those providers and your account settings.

7. Your choices and requests

You can choose whether to submit information to Civic IQ, manage browser cookies, and manage permissions and data settings in your AI platform and connected services.

Depending on where you live and applicable law, you may have rights to request access to, correction of, or deletion of personal information. Contact us about information Civic IQ holds. We may need to verify your request before acting on it.

8. Security

We take reasonable steps to protect information we handle. No method of transmission or storage is completely secure. Use appropriate care when sharing organizational or personal information through website forms, email, AI platforms, or connected services.

9. Children's privacy

Civic IQ's website, tools, and plugins are intended for nonprofit leaders, staff, consultants and other organizational users. They are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information directly to Civic IQ, contact us so we can address it.

10. Changes to this policy

We may update this policy as our services or practices change. The effective date above indicates the current version. Review the policy periodically to understand our information practices.
